IT Accounting and Asset Manager

  • Thoroughly managed software-hardware procurement and asset tracking and management programs, processes, tools, and collaboration; includes managing proposal requests and evaluation, negotiation of price, schedules, terms & conditions, purchase order placement and administration, vendor contract documentation, purchase order awards, and monitoring of vendor performance.  Managed the Division’s procurement contract closeout process, ensuring all contractual requirements had been met, all disputes had been settled, and final payment had been made.  Continually ensured a fully operational service delivery infrastructure through proactive and detailed hardware warranty and replacement, software license renewals, shipping and receiving, and inventory control.
  • Collaborated with government and contractor Section Heads to assess the current and future hardware/software needs within all EML Division programs in order to guide the evaluation and selection of vendors and existing and emerging hardware/software products; performed thorough market and vendor performance research.
  • Maintained the EML Division’s compliance with Department and Federal Acquisition Regulations (FAR) through oversight and implementation of procurement justification documentation and formalized inventory decommissioning and/or disposal. Maintained the EML Division’s CPSR compliance for infrastructure support via a knowledge base of software and hardware sourcing and commodity strategies thereby enhancing the customer and/or stakeholders’ business, systems, and objectives through accurate asset management and detailed communication.
  • Managed internal and external audit activities for software-hardware use and entitlements through oversight and development of metrics and standard operating procedures for hardware/software procurement, software license accountability, and hardware maintenance management.  Efficiently applied risk management and compliance checks in the research and analysis of supply markets and contract performance to identify potential risks and to initiate risk mitigation strategies.
  • Provided timely and in-depth analysis and forecasting to the IRM Department Chief via complete and detailed accurate accounting compilations using standard accounting tools.  Ensured that budget requests for the organization’s hardware and software and service agreement needs were accurate and complete, and performed in-depth analyses of these budget requests.  Managed all PFR (Priority Funding Requests).
  • Conducted monthly training sessions on the Department of State Software and Hardware procurement and acquisition process for enterprise software and hardware assets, and methods and tools for enhancing software license and hardware maintenance management.

United States Department of Justice (January 2008 – February 2010)

Operations Manager / Management Analyst

  • Successfully managed operations and provided efficient project management support for 98 team members on the Delivery Order 5 Information Technology Systems Development, Maintenance, and Integration Project for the U.S. Department of Justice Office of Justice Programs. Participated in weekly Management meetings in support of the project. 
  • Acted as the Earned Value Management (EVM) Team Lead by providing monthly forecast updates and schedule status updates. Managed and produced the monthly EVM reporting requirements, including explanations for variances.  Developed expenditure reports and weekly and monthly status reports for delivery to the OCIO.  Collaborated with the Project Manager and Leadership Team in the financial planning of the project budget.  Prepared monthly budget reports for delivery to the OCIO.   Built, updated, and maintained the project’s Integrated Master Schedule.  Provided monthly forecast updates to the CEPs; this includes providing information about funding levels and mid-month queries related to charge codes used by staff and subcontractors.  Provided assistance to the PM and Leadership Team in the verification of accurate invoices. 
  • Monitored the solicitation, application, and awarding of grants using OJP’s Grants Management System (GMS) using SharePoint. Prepared monthly and yearly deliverables to Congress reporting the financial status of all grants awarded to scholars, practitioners, experts, and state and local governments and agencies through the Office of Justice Programs, the Office on Violence Against Women (OVW), the Bureau of Justice Assistance (BJA), the Bureau of Justice Statistics (BJS), the Community Capacity Development Office (CCDO), the National Criminal Justice Reference Service (NCJRS), the National Institute of Justice (NIJ), the Office of Juvenile Justice and Delinquency Prevention (OJJDP), the Office of Sex Offender Sentencing, Monitoring, Apprehending, Registering, and Tracking (SMART), the Office of Victims of Crime (OVC), and the Community Oriented Policing Services Office (COPS).

  • Ordered general office supplies via online ordering for unrestricted items, and purchase requisitions for restricted items. Processed yearly spot bonuses.  Processed reimbursement requests for Home Team Leader lunches and New Employee lunches, miscellaneous expense vouchers, tuition reimbursements request forms and Personnel Transaction forms.
  • Managed the tracking and maintenance of S2ES locations and facilities. Maintained office space printouts and submitted move requests when employees relocated to other offices through Bricsnet. Generated purchase orders for computers and laptops, as well as their associate peripherals.  Efficiently managed the distribution and return of employee loaner laptops.  Set up and maintained time card approver groups.  Requested and collected updates from each business program and consolidated marketing information for the Marketing Database.
  • Managed staff resumes and wrote up biographical snapshots for new staff members, to be submitted to Sector Executives. Gathered monthly staffing and contact information updates from each business program within the sector to update organizational charts, staffing databases, and emergency contact rosters. 
  • Coordinated catering and equipment set up for sector meetings. Scheduled sector Internal Process Report meetings, marketing meetings, and routine sector meetings. Took meeting notes and tracked action items at staff meetings. Ordered name plates, and secured landlines, voicemail accounts, and physical mailboxes for new hires.  Assisted with out-processing employees who were terminating their employment.  Coordinated with the Security Department to initiate security clearances for staff members.
  • Created advanced PowerPoint presentations for executive level meetings, including formatting slide masters, writing, editing, creating charts, manipulating data, and incorporating transitions and animation effects. Commercial Installation Manager

  • Effectively managed a team of 15 commercial installers; this includes managing installers’ daily work schedules and job assignments, managing employee timecards, processing monthly time tickets, and managing purchase order requests and invoices for employee uniforms, installation equipment, and subcontractor requests using Oracle.
  • Processed monthly branch billing reports; this includes managing finance data reports, check audit logs, and Time and Material Billing Control logs and reports.  Processed daily projected revenue reports to ensure that day-to-day activities were in compliance with Sarbanes Oxley regulations.  Processed monthly Oracle purchase order procurement reports.   
  • Accurately wrote up installation contracts and subcontracts for residential, commercial, and national account customers.  Ensured that contracts were written properly and legibly before processing.  Processed Underwriters Laboratories Inc.   • Managed daily residential, commercial, government, and national account contracts.  Prioritized and scheduled residential security system installations.  Monitored each stage of the installation process to ensure the completeness of each job and customer satisfaction.  Processed installation paperwork for government and national accounts.
